Goal

Develop a shared understanding in the Food Rescue Alliance of what’s working in each organization’s software and what is challenging.

Overview

By spending a minute thinking about what is and isn’t working in our current software setups, we can take those lessons into something new. Additionally, we want to start thinking about our daily food logistics separate from the tools (software) we use. Recognizing how tools shape our daily logistics will help us distinguish between what we have to do because of the tool and what we have to do because it’s a part of food logistics.

We’ll invite software stakeholders to participate in a survey to reflect on what they liked and what they found challenging about their use of the software. Consider inviting high-interest stakeholders to this activity if possible. 

step 1Create an Email Draft

You don’t have to facilitate a group here (yay!) but we do want to collect as many surveys and voices as possible. Please send this survey out as soon as possible, so we can get plenty of answers before Feb 19. Start by creating a draft email with a subject like “Short Survey: Your Software Experience”

step 1Find the Stakeholders

Consider who might have a critical insight to offer. The group could include your staff, core coordinators, primary volunteers, and other stakeholders who use the software. Add them to the bcc recipient list of your email draft.

  1. Head over to the prefill survey URL (english and spanish), you’ll need to log in to a google account for this step. If you don’t have a google account, email becks@boulderfoodrescue.org with your organization and the software you use & we’ll send you a prefilled link.
  2. Fill out the following fields:
    • Organization: pick yours
    • Software you use: robot or otherwise
  3. Hit “Get Link”
  4. Hit “Copy link”
  5. Use the link in the email draft. 
  6. Below is an example of an email you can customize.

Hi!

We could really use your input. We are participating in a process with other organizations across the Food Rescue Alliance to help redesign software and want to better understand how the [insert the software you use here eg Robot] aids us in our daily goals. By spending a minute thinking about what is and isn’t working in our current setups, we can take those lessons into something new. 

Next time you use our software, take this 2 question survey [add customized link to previous text] about what is and isn’t working for you. Take the survey as many times as you want between now and Feb 19th. If something doesn’t work well one day (or is perfect one day), please go in and write what that is down!

Recognizing how tools shape our daily logistics will help us distinguish between what we have to do because of the tool and what we have to do because it’s a part of food logistics. Your input as a key stakeholder to this organization will enable us to design the best tool possible.

Estamos participando en un proceso con otras organizaciones en la Alianza de Rescate de Alimentos para ayudar a rediseñar el software y queremos comprender mejor cómo el [inserte el software que usa aquí] nos ayuda en nuestros objetivos diarios. Al pasar un minuto pensando en lo que funciona y lo que no funciona en nuestras configuraciones actuales, podemos llevar esas lecciones a algo nuevo. 

La próxima vez que use nuestro software, realice esta encuesta de 2 preguntas [inserte un enlace personalizado] sobre lo que funciona y lo que no funciona para usted. Realice la encuesta tantas veces como desee entre ahora y el 19 de febrero. Si algo no funciona bien un día (o es perfecto un día), ¡entre y escriba lo que está mal!

Reconocer cómo las herramientas configuran nuestra logística diaria nos ayudará a distinguir entre lo que tenemos que hacer debido a la herramienta y lo que tenemos que hacer porque es parte de la logística alimentaria. Su aporte como actor clave para esta organización nos permitirá diseñar la mejor herramienta posible.

Send the email.

Each person will submit their own work in this activity. Nothing further for you to do for the group. But individually, you should also take the survey.
