Develop a shared understanding in the Food Rescue Alliance of what’s working in each organization’s software and what is challenging.
By spending a minute thinking about what is and isn’t working in our current software setups, we can take those lessons into something new. Additionally, we want to start thinking about our daily food logistics separate from the tools (software) we use. Recognizing how tools shape our daily logistics will help us distinguish between what we have to do because of the tool and what we have to do because it’s a part of food logistics.
We’ll invite software stakeholders to participate in a survey to reflect on what they liked and what they found challenging about their use of the software. Consider inviting high-interest stakeholders to this activity if possible.
Create an Email Draft
You don’t have to facilitate a group here (yay!) but we do want to collect as many surveys and voices as possible. Please send this survey out as soon as possible, so we can get plenty of answers before Feb 19. Start by creating a draft email with a subject like “Short Survey: Your Software Experience”
Find the Stakeholders
Consider who might have a critical insight to offer. The group could include your staff, core coordinators, primary volunteers, and other stakeholders who use the software. Add them to the bcc recipient list of your email draft.
Customize the Survey
- Head over to the prefill survey URL (english and spanish), you’ll need to log in to a google account for this step. If you don’t have a google account, email firstname.lastname@example.org with your organization and the software you use & we’ll send you a prefilled link.
- Fill out the following fields:
- Organization: pick yours
- Software you use: robot or otherwise
- Hit “Get Link”
- Hit “Copy link”
- Use the link in the email draft.
- Below is an example of an email you can customize.
Write the Email Body
Here’s an example:
We could really use your input. We are participating in a process with other organizations across the Food Rescue Alliance to help redesign software and want to better understand how the [insert the software you use here eg Robot] aids us in our daily goals. By spending a minute thinking about what is and isn’t working in our current setups, we can take those lessons into something new.
Next time you use our software, take this 2 question survey [add customized link to previous text] about what is and isn’t working for you. Take the survey as many times as you want between now and Feb 19th. If something doesn’t work well one day (or is perfect one day), please go in and write what that is down!
